Requesting an official e-mail address

A K-State unit's e-mail address is a permanent communications channel, just like a phone or fax number. Addresses on K-State's central mail system have a format of unit@ksu.edu. An official e-mail address can by created for
  • Departments/units, university committees, and other official entities
  • Living units
  • Campus organizations registered with the Office of Student Activities and Services
  • Units that want a short @ksu.edu address to forward to a college/departmental server

An official e-mail address can be set up as a group account, an e-mail alias, or a LISTSERV mailing list. To determine which best meets your unit's needs, use the comparison chart below and read the requirements for an official e-mail address. Select the appropriate application form at the bottom of the chart.

Requirements for an official e-mail address

  • It must be descriptive and easily identified with the unit and/or its K-State mission.

  • It must start with an alphabetical character, followed by alphanumeric characters (a-z, 1-9), where all alphabetical characters are lowercase. Alias and mailing-list names may include a hyphen (-). A mailing-list name that is 8 characters or less will be created with -L added at the end, to clearly identify it as a list and avoid confusing it with an individual K-State eID.

  • An official e-mail address must be approved by the unit's primary administrator or faculty/staff member responsible. For a K-State unit, it is the director or unit head. For a campus organization, it is the faculty adviser. For a greek living unit, it is the director of Greek Affairs.

Other considerations

  • If your unit has an official webpage or will be applying for one, consider an e-mail address that matches your Web address. (example: cns@ksu.edu to match www.ksu.edu/cns). The webpage request form is on the CNS forms page.

  • Student/employee personal e-mail addresses are available by obtaining a K-State eID.
